Position Description
A Project Coordinator acts as a liaison between Olink's Analysis Service (AS) lab, the Business Development Manager (BDM), and the customer to maintain a clear line of communication ensuring timely completion of individual studies.
This is a multi-faceted role requiring excellent communication, time management and collaboration through cross-functional teams.
Primary Responsibilities
- Coordinate projects from “Quote Accepted” to “Experiment Started”
- Maintain effective integrated project execution strategies and plans
- Establish clear and consistent communication with customer, including defining expectations of the customer, Business Development Manager (BDM), and Analysis Service (AS)
- Update the customer and BDM in a timely manner and in clear terms if there are changes in expected timelines, cost, or deliverables
- Manage and review paperwork related to the studies (sample manifests, work order, specific sample release documents, etc...)
- Manage and review the logistics of studies (getting projects out of quarantine, project composition, conveying timelines, and tracking project progress)
- If necessary, follow up with legal team regarding turnaround time for documents in progress
- Update Salesforce, internal Kanban, and any additional interfaces according to criteria and timeline
- Maintain positive relationships with clients and ensure client satisfaction through superior service
- Participate in regular business reviews, all hands, or planning meetings as needed
- To attend calls or meetings with the customer, BDM and Support
- Produce clear and concise written communication
- Develop and track activities against project timelines
- Assist in the creation of SOP and work instructions related to that of the Project Coordinator position
- Collaborate with other lead professionals to ensure design and documentation are in accordance with company standards and client expectations
- Identify, implement, comply with, and maintain applicable company safety, environmental and quality standards, procedures, and policies and other relevant legislative and regulatory requirements
Qualifications/Skills
- University degree within the Life Sciences field or equivalent
- Several years of experience in Project coordination or Project Management, preferably in the Life Science field
- Strong organizational skills and attention to detail
- Ability to balance multiple projects and be flexible in day-to-day work tasks
- Ability to meet customers in a professional and customer-friendly way
- Experience with laboratory work, preferentially routine work with large sample sets and/or service organizations is a plus.
- Thorough, self-motivated, and pro-active team-player with an interest to work across teams and disciplines
- Documented experience in Microsoft Office and Salesforce programs and an ability to learn other software and systems
